Venuepass Privacy Policy
Effective August 27, 20261. Scope
This policy explains how Venuepass processes information through its public website and the customer, employee, and administrator services it provides to participating organizations. The organization that issued your account may also provide its own privacy notice and may determine how your information is used.
2. Information processed
Depending on the services enabled by your organization, Venuepass may process account identifiers, names, contact information, membership details, household relationships, guest-pass and class-credit balances, bookings, appointments, billing status, payment references, communication preferences, employee assignments, sign-in records, and customer-service requests.
3. How information is used
Information is used to authenticate accounts, provide memberships and benefits, schedule services, support payments, deliver requested messages, administer employee permissions, prevent fraud, maintain security, respond to requests, and comply with applicable obligations.
4. Service providers and disclosure
Venuepass and participating organizations may use service providers for hosting, payments, email, text messaging, analytics, and support. Information may be shared with those providers only as reasonably necessary to provide the service, or when disclosure is permitted or required by law. Venuepass does not sell customer contact lists.
5. Communications
Customers are asked to choose whether to receive marketing email and text messages. Those choices do not prevent transactional communications such as receipts, account notices, password messages, or booking updates. Text-message frequency varies, message and data rates may apply, and recipients may reply STOP to opt out or HELP for help when supported by the sending program.
6. Retention and security
Information is retained for as long as reasonably necessary to provide the services, maintain business and consent records, resolve disputes, and meet legal obligations. Venuepass uses reasonable administrative and technical safeguards, but no system can be guaranteed completely secure.
7. Your choices
You may update communication choices in the customer portal when available. Depending on applicable law and the role of the participating organization, you may request access, correction, deletion, or a copy of personal information and may appeal certain decisions. Identity verification may be required.
8. Updates
This policy may be updated as Venuepass services, providers, or legal obligations change. The effective date identifies the current version.
